MISSION

An AI chief of staff that turns meetings into tasks and daily briefings

Action items from meetings need an owner, a deadline and a place to live. This mission creates the tasks, pings the team and sends you a morning briefing and an end-of-day report.

Request a mission

What it does

This mission works like an AI chief of staff for your meetings. After each meeting, it reads the summary through Fathom, pulls out every action item with its owner and deadline and creates a task for each one in Trello, Asana, Notion or Basecamp. Then it pings the owners in Discord, Slack or WhatsApp.

Twice a day it sends you a briefing. The morning one lists today's meetings and open tasks. The end-of-day report shows what got done, what's still open and the key points from the day's meetings. Builders have run this with agent tools like OpenClaw, and it works in ChatGPT or Claude too.

Who it's for

Executives, founders and operations leads who run a lot of meetings and want the follow-through to happen without a person chasing it.

The flight plan

Run the task step after each meeting, and schedule the briefings for the start and end of the day.

  1. Connect Fathom and your task tool to ChatGPT, Claude or your agent tool.
  2. Run the starter prompt after a meeting and check the tasks it creates.
  3. Pick where pings go: Discord, Slack or WhatsApp.
  4. Schedule the morning briefing and end-of-day report.
  5. Keep anything client-facing, like emails or posts, waiting for your sign-off.

RULES

Create one task per action item, with one owner.

Use the deadline said on the call, or flag that none was set.

Hold anything sent outside the team for your approval.

Keep each briefing to one screen.

Link every task back to the meeting in Fathom.

What good looks like

A good assistant means you never ask "who was doing that?" A mediocre one sends you the meeting summary again.

GOOD

"Morning briefing: 3 meetings today (board prep at 10). Open tasks: 7, 2 due today. Overdue: vendor contract review (Sam, due Mon). From yesterday: 4 new tasks created, owners pinged in #ops."

MEDIOCRE

"You had 4 meetings yesterday. Here are the summaries."

STARTER PROMPT

⧉ Copy

Use Fathom to get my most recent meeting. List every action item with one owner and the deadline that was said. If there's no deadline, say so. Create a task for each in [Trello, Asana, Notion or Basecamp] and draft a short message to each owner for [Discord, Slack or WhatsApp].

Each morning, send me today's meetings and open tasks. Each evening, send me what was completed, what's still open and the key points from today's meetings. Don't send anything outside the team without asking me first.

FAQs

Questions? We’ve got you covered.

How do I turn meeting action items into tasks automatically?

Connect Fathom to ChatGPT, Claude or an agent tool like OpenClaw, along with your task tool. After each meeting, it reads the action items and creates a task for each one with its owner and deadline.

Can it send messages without me?

Team pings and briefings can run on their own. The rules keep anything that goes to clients or the public waiting for your approval.

Which Fathom plan do I need to run this skill in ChatGPT or Claude?

Any Fathom plan, including Free. The skill reads your calls through Fathom's MCP integration with ChatGPT and Claude, which is on every plan.

What is an AI chief of staff?

An AI chief of staff handles the coordination work a chief of staff or executive assistant would: tracking commitments, creating tasks, chasing follow-ups and preparing briefings. Connected to your meetings, it can do this from what was actually said.
