MISSION

HubSpot automation that updates the deal and drafts the follow-up

Updating HubSpot after a call is the task that slips first. This mission reads the call, updates the deal and drafts the follow-up email while the conversation is still fresh.

Mission type

Best for

Sales
Operations / RevOps

Output

An updated HubSpot deal and a follow-up email draft after every call

Request a mission

What it does

This mission turns every sales call into a HubSpot update. After the call, ChatGPT or Claude reads the conversation through Fathom, finds the matching deal in HubSpot and fills in what changed: deal stage, next steps, pain points and the tasks each side agreed to. Then it drafts the follow-up email for you to review and send.

Fathom's HubSpot integration already syncs your call summaries to HubSpot. This mission builds on that sync by updating deal fields and drafting the follow-up for you. Teams that report out of a warehouse like Snowflake get cleaner deal data to work with.

Who it's for

Account executives, founders who sell and RevOps teams who want HubSpot to reflect what was said on the call without anyone retyping it.

The flight plan

Run it right after each sales call, or once at the end of the day for every call you had.

  1. Connect Fathom and HubSpot to ChatGPT or Claude.
  2. List the HubSpot deal properties you want updated, such as stage, next step and pain points.
  3. Run the starter prompt after a call and review the proposed changes before they're saved.
  4. Read the follow-up draft, adjust the tone and send it.
  5. Once the updates look right, run it for every call. Pair it with the follow-up email mission for calls that don't have a deal.

RULES

Show every proposed field change before writing it to HubSpot.

Only move the deal stage when the buyer said something that supports it.

Write next steps with an owner and a date.

Quote the customer's own words for pain points.

Ask before creating a new deal or contact.

What good looks like

A good update tells the next person exactly where the deal stands. A mediocre one pastes the summary into a note and leaves the fields untouched.

GOOD

"Deal: Northwind, Stage: Discovery → Demo scheduled. Next step: send security docs by Oct 21 (you), share data sample (Priya). Pain point: 'our reps spend Fridays updating the CRM.' Follow-up draft ready for review."

MEDIOCRE

"Had a great call with Northwind. They're interested. Will follow up soon."

STARTER PROMPT

⧉ Copy

Use Fathom to get my most recent sales call. Find the matching deal in HubSpot.

Propose updates for deal stage, next step and pain points based only on what was said on the call. Show me each change with the quote that supports it before saving anything. Then draft a short follow-up email that recaps what we agreed and lists next steps with owners and dates.

FAQs

Questions? We’ve got you covered.

How do I automate HubSpot updates after a sales call?

Connect Fathom and HubSpot to ChatGPT or Claude, then ask the assistant to read the call and propose updates to the deal. Review the changes before they're saved, so HubSpot reflects the call without anyone retyping notes.

Will it overwrite deal data I've entered by hand?

Not if you follow the rules. The prompt shows every proposed change with the quote behind it and waits for your approval before anything is saved.

Which Fathom plan do I need to run this skill in ChatGPT or Claude?

Any Fathom plan, including Free. The skill reads your calls through Fathom's MCP integration with ChatGPT and Claude, which is on every plan.

What is HubSpot automation?

HubSpot automation is using workflows or AI to update contacts, deals and tasks in HubSpot without manual entry. For sales teams, that usually means keeping deal stages and next steps current after every customer conversation.
