What it does

This mission writes the follow-up email after a meeting for you. ChatGPT or Claude reads the conversation through Fathom and drafts an email in a fixed structure: a line of background, the main talking points, the client's next steps and yours.

It's written to send, not to edit from scratch. If you'd rather have follow-ups drafted in your CRM, Zero's Fathom integration drafts them from your calls and links the tasks to the right contact.

Who it's for

Advisors, account managers, sellers and founders who end most meetings with "I'll send a recap" and want that email done before the next meeting starts.

The flight plan

Run it right after each client meeting, while you can still catch anything it missed.

  1. Connect Fathom and your email to ChatGPT or Claude.
  2. Run the starter prompt when the meeting ends.
  3. Read the draft, adjust anything that needs your judgment and send it. If you'd rather approve from Slack, have the draft sent to you there to approve before it goes out.
  4. Add a sample of a follow-up you've sent before so the tone matches yours.
  5. For deals in HubSpot, use the HubSpot automation mission to update the deal at the same time.

RULES

Open with one line of context, not small talk.

Split next steps into theirs and yours.

Give every next step a date.

Use the client's own words for what they asked for.

Keep it short enough to read on a phone.

What good looks like

A good follow-up reads like you wrote it with the notes in front of you. A mediocre one thanks them for their time and says you'll be in touch.

GOOD

"Thanks for walking me through the plan for the new property. Recap: you want to keep the current lender and refinance in Q1. Your next steps: send last two years of statements by Friday. Mine: model three refinance options and send them Tuesday."

MEDIOCRE

"Great to connect today. Let me know if you have any questions. Looking forward to next steps!"

STARTER PROMPT

⧉ Copy

Use Fathom to get my most recent meeting. Draft a follow-up email to the client with four parts: one line of background on why we met, the main points we discussed, the client's next steps and my next steps.

Give every next step a date. Use the client's own words where possible, keep it under 200 words and match the tone of my sample below. If a next step didn't have a date on the call, flag it for me instead of inventing one.

FAQs

Questions? We’ve got you covered.

How do I write a follow-up email after a meeting?

Open with a line of context, recap what you discussed, then list the next steps for each side with dates. Connecting Fathom to ChatGPT or Claude lets AI write this draft from the conversation, so you only review and send.

Will the email sound like me?

Add a follow-up you've sent before to the prompt and the draft will match your tone. Review every email before it goes out.

Which Fathom plan do I need to run this skill in ChatGPT or Claude?

Any Fathom plan, including Free. The skill reads your calls through Fathom's MCP integration with ChatGPT and Claude, which is on every plan.

What is a meeting follow-up email?

A meeting follow-up email is a short message sent after a meeting that recaps what was discussed and confirms next steps. It keeps both sides aligned and gives everyone a written reference.
