MISSION

Say "write up that call" and get notes in your call notes template

Notes written from memory miss the promises that matter. This mission writes up every call in the same template and updates the account notes, so the next step is never lost.

Request a mission

What it does

This mission gives you a call notes template that fills itself in. After a call, say "write up that call" and ChatGPT or Claude pulls the conversation from Fathom and writes it up in the same structure every time: who was there, what each side promised, the buying group and the next step with an owner and date.

It then updates the account's running notes, wherever you keep them (a notes app like Obsidian, a doc or your CRM), and checks your inbox for threads you still owe a reply on. Over time, each account note becomes the single place to see where things stand.

Who it's for

Sellers and account executives who aren't technical and want an assistant that keeps their accounts organized.

The flight plan

Run it after every call. Keep one note per account so the history builds up in one place.

  1. Connect Fathom to ChatGPT or Claude, along with your notes app and email if they have connectors.
  2. Paste the template from the starter prompt into your instructions, and change the headings to fit how you sell.
  3. After a call, say "write up that call" and review the notes.
  4. Let it update the account note and add next steps to your task list.
  5. Once a week, ask it which accounts have a next step past due.

RULES

Use the same headings for every call.

Write down each promise with who made it and by when.

Update the account note rather than starting a new one.

List the buying group by name and role.

Flag any email thread where the customer is waiting on you.

What good looks like

Good notes let you walk into the next call without rereading anything. Mediocre notes say the call was positive.

GOOD

"Attendees: Dana (VP Ops, decision maker), Raj (IT, blocker on security). Promises: you send SOC 2 report by Nov 5. Dana books IT review. Buying group: +Raj. Next step: security review call, week of Nov 10 (Dana). Unanswered: Raj's Oct 28 email."

MEDIOCRE

"Call with Dana. Positive. They like the product. Need to follow up."

STARTER PROMPT

⧉ Copy

When I say "write up that call", use Fathom to get my most recent call and write notes with these headings: Attendees (name, role), What they said they need, Promises (who, what, by when), Buying group changes, Next step (owner, date).

Then update my running note for that account with anything new, and check my email for threads with these attendees where I haven't replied. Keep the notes under 200 words and quote the customer where it matters.

FAQs

Questions? We’ve got you covered.

What should a sales call notes template include?

Attendees and their roles, what the customer said they need, promises made by each side with dates, changes to the buying group and the next step with an owner. Keeping the same headings on every call makes it easy to compare calls over time.

Do I need to be technical to set this up?

No. You connect Fathom to ChatGPT or Claude, paste the template into your instructions and say "write up that call" after each meeting.

Which Fathom plan do I need to run this skill in ChatGPT or Claude?

Any Fathom plan, including Free. The skill reads your calls through Fathom's MCP integration with ChatGPT and Claude, which is on every plan.

What is a call notes template?

A call notes template is a fixed set of headings used to write up every call the same way. It makes sure the important details, like commitments and next steps, get captured every time.
