MISSION

Meeting notes automation that hands off tasks to Slack and Asana

What it does

This mission is meeting notes automation for teams that live in Slack. When a meeting ends, the AI reads it through Fathom and writes a three-sentence summary, the decisions made and each action item assigned by name.

The summary goes to a Slack channel and the action items become tasks in Asana or Notion, with the owner tagged. Nobody has to watch the replay or ask who's typing up notes.

Who it's for

Operations leads and managers running team meetings where decisions need to reach people who weren't in the room.

The flight plan

Try it by hand on one meeting first. When the output is right, automate it with Make so it runs after every meeting.

  1. Connect Fathom, Slack and Asana or Notion to ChatGPT or Claude.
  2. Run the starter prompt on a recent meeting and check the summary and tasks.
  3. Pick the Slack channel and project each type of meeting should post to.
  4. To automate it, build a Make scenario that triggers when a Fathom meeting ends, runs the prompt in an AI step, posts to Slack and creates the tasks.
  5. Check the first week of tasks for owners and dates, then let it run.

RULES

Keep the Slack summary to three sentences.

List decisions separately from action items.

Assign each task to one named person.

Skip tasks with no clear owner and list them in the summary instead.

Link each task back to the meeting in Fathom.

What good looks like

A good hand-off means people know their tasks before they're back at their desk. A mediocre one posts the full transcript in Slack.

GOOD

"Summary: Q1 launch moves to Feb 3. Support needs docs a week early. Ops owns the checklist. Decisions: delay launch, keep pricing. Tasks: Jordan, draft help docs by Jan 20. Mei, update launch checklist by Jan 15."

MEDIOCRE

"Meeting notes attached. Lots discussed, see the replay for details."

STARTER PROMPT

⧉ Copy

Use Fathom to get my most recent meeting. Write a three-sentence summary, a list of decisions made and a list of action items, each assigned to one person by name with a due date if one was mentioned.

Draft the Slack post with the summary and decisions. Then create each action item as a task in Asana (or Notion) assigned to its owner, with a link to the Fathom meeting. List any action without a clear owner in the Slack post instead of creating a task.

FAQs

Questions? We’ve got you covered.

How do I automatically send meeting action items to Asana?

Fathom's Asana integration sends action items to Asana from your meetings. For a Slack summary and named owners on each task, run this mission in ChatGPT or Claude, or build a Make scenario that runs the prompt after every meeting.

What if the AI assigns a task to the wrong person?

The rules tell it to skip tasks without a clear owner and list them in the summary instead. Check the first week of tasks before you let it run on its own.

Which Fathom plan do I need to run this skill in ChatGPT or Claude?

Any Fathom plan, including Free, for the ChatGPT or Claude version. It reads your calls through Fathom's MCP integration, which is on every plan. The always-on Make version needs a paid plan: Fathom's Make integration is available with limits on Premium and in full on Team and Business.

What is meeting notes automation?

Meeting notes automation is using software to capture a meeting and turn it into notes, decisions and tasks without anyone writing them by hand. The best setups also send those outputs to the tools the team already uses.
